1. Introduction
This Privacy Policy explains how Quancis ("we," "us," "our") collects, uses, and protects your personal information when you use platform.quancis.space and our API service (the "Service"). Quancis is not a registered company; it is a trading name used by Response Mosese, an unregistered sole proprietor operating under the laws of South Africa, based in Limpopo, Republic of South Africa. Any reference to "Quancis" throughout this Policy refers to Response Mosese personally, trading as Quancis.
We primarily comply with South Africa's Protection of Personal Information Act (POPIA). If you are located in the European Economic Area, the UK, or another jurisdiction with its own data protection law (such as the GDPR), we also aim to honor the rights those laws provide, as described below.
2. Information We Collect
In this Policy, "personal information" means information that identifies you or relates to you, in the categories described below.
Account information. When you register, we collect your full name and email address.
Payment information. Payments are processed entirely by our third-party payment processor, whop.com. We do not collect, process, or store your payment card, bank account, or other financial account details ourselves.
Prompts and usage data. When you send a request to Kael, we temporarily store your prompt for a maximum of 15 minutes. This short-term storage is used solely for operational purposes, such as calculating cache hits for billing. After this window, prompt content is deleted, except as described in Section 3 below.
Technical information. When you access our website or API, our servers automatically log standard technical information, such as your IP address, browser or client type, and request timestamps, for security, fraud prevention, and operational purposes.
Website usage. Our website may use cookies and similar tracking technologies — such as session cookies to keep you logged in, and analytics cookies to help us understand how visitors use our site — to operate, secure, and improve the Service. You can control or disable cookies through your browser settings, though this may affect how well the website functions.
3. Content Moderation & Flagged Prompts
Our systems automatically scan prompts for indications of violations of our Terms of Service, Section 9 (Acceptable Use). If a prompt is flagged, it is retained beyond the standard 15-minute window as evidence, and the associated account may be paused pending review by an administrator. Flagged content is retained for as long as necessary to complete that review and, where we take enforcement action, may be retained afterward as a record of the action taken. If a flag is determined to be a false positive, it is cleared, the associated content is handled the same as any other prompt under Section 2, and the account is restored.
4. Model Training
By default, we do not use your prompts or output to train or improve our models. We will only do so if you explicitly opt in.
5. How We Use Your Information
We use the information described above to:
- Operate, maintain, and bill for the Service;
- Calculate cache hits and other technical/billing functions;
- Detect and respond to violations of our Terms of Service;
- Communicate with you, including account, billing, and policy notices;
- Comply with legal obligations.
6. How We Share Your Information
We do not sell your personal information. We share information only:
- With third-party AI infrastructure and processing providers, as needed to generate responses to your prompts;
- With our payment processor, whop.com, to process payments;
- Where required to comply with a valid court order or other lawful legal request.
We are not responsible for how the third-party providers listed above independently handle data on their own platforms; their use of your data is governed by their own privacy policies.
7. International Data Transfers
Because we rely on third-party providers that may operate outside South Africa, your information may be transferred to and processed in other countries. We take reasonable steps to ensure such transfers are consistent with POPIA and, where applicable, GDPR requirements.
8. Data Retention
- Account information (name, email) is retained for as long as your account is active.
- Prompts are retained for a maximum of 15 minutes under normal circumstances, or longer if flagged, per Section 3.
- Technical/log information (such as IP addresses) is retained for a limited period for security and fraud-prevention purposes, and then deleted or anonymized.
- Upon account deletion, we remove your personal information from our systems, except where retention is required by law (e.g., financial records, or evidence of a flagged violation under investigation).
9. Your Rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Request deletion of your account and associated personal information;
- Object to certain processing of your information;
- Where GDPR applies to you, request portability of your data.
To exercise any of these rights, email us at support@quancis.space with your request. We will respond within a reasonable time and may ask you to verify your identity before completing certain requests, such as deletion.
If you are in South Africa and believe your rights under POPIA have been violated, you may lodge a complaint with the Information Regulator of South Africa. If GDPR applies to you, you may lodge a complaint with your local supervisory authority.
10. Information Officer
Under POPIA, Response Mosese, as the sole proprietor trading as Quancis, acts as the Information Officer responsible for compliance with South African data protection law and for handling requests, queries, and complaints regarding your personal information. 11. Data Security
We take reasonable technical and organizational measures to protect your personal information. However, no system is completely secure, and we cannot guarantee absolute security.
Breach notification. In the event of a security compromise affecting your personal information, we will notify affected users and, where required by law, the Information Regulator, without undue delay.
12. Legal Disclosure
We do not promise that we will withhold your data if compelled by a court of law or other valid legal process. We do promise to limit our own collection and retention of your data to what is described in this Policy.
13. Children's Privacy
The Service is not directed at, and may not be used by, individuals under 18 years of age (or the age of majority in their jurisdiction). We do not knowingly collect personal information from minors.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be posted on our website and/or communicated via email.
